Submission Guidelines for Conference Presentation Video
Authors whose papers have been accepted for presentation are required to submit a pre-recorded presentation video. The video will be used for conference presentation, review, documentation, and/or online dissemination, depending on the conference format. Please use this template when preparing your video presentation

1. Video Duration
- The presentation video should have a duration of : 7-8 minutes
for invited and regular presenters - The presentation should be concise and focused on the study’s main objectives, methods, results, and conclusions.
2. Video Format
The submitted video must follow the technical requirements below :

3. Presentation Content
The video should generally include the following sections:
- Title slide
Include the paper title, author names, affiliation, and conference name. - Introduction and background
Briefly explain the research context, problem statement, and research gap. - Objectives
State the main aim and specific objectives of the study. - Methodology
Explain the research methods, experimental setup, numerical model, data collection, or analytical approach. - Results and discussion
Present the key findings using clear figures, tables, charts, or diagrams. - Conclusion
Summarize the main findings, contribution, limitations, and possible future work. - Acknowledgment, if applicable
Mention funding, institutional support, or collaborators.
4. Presentation Slide Requirements
Authors are advised to prepare slides using PowerPoint, Keynote, Canva, or similar software. The slides should be clear, readable, and professionally arranged.
Recommended slide format:
- Use 16:9 widescreen layout.
- Use readable fonts and avoid excessive text.
- Ensure all figures, tables, and graphs are clear.
- Use consistent formatting throughout the presentation.
- Avoid copyrighted images or materials without permission.
- Include slide numbers where appropriate.
5. Speaker Requirements
The presenter should ensure that:
- The presentation is delivered in English.
- The speaker’s voice is clear and understandable.
- The recording environment is quiet and free from interruptions.
- The presentation follows the allocated time limit.
- The presenter introduces the paper and the authors clearly at the beginning of the video.
The use of a small speaker camera window is optional but recommended to improve audience engagement.
6. Recording Recommendations
Authors may use any suitable recording platform, such as:
- Zoom
- Microsoft Teams
- OBS Studio
- PowerPoint Recording Feature
- Canva Recording
- Google Meet
- Loom
Before final submission, authors should review the video to ensure that the audio, slide visibility, timing, and transitions are working properly.
7. Submission Procedure
The final video file should be submitted via the official link provided by the organizing committee.
When submitting the video, authors should include:
- Paper ID
- Paper title
- Presenter name
- Corresponding author email
- Video file or downloadable link
The file is submitted through a cloud storage link, authors must ensure that the access permission is set to “Anyone with the link can view/download.”
8. Submission Deadline
The presentation video must be submitted no later than: 25 May 2026
Late submission may affect the presentation schedule or inclusion in the conference program.
9. Review and Acceptance
The committee may check all submitted videos to ensure compliance with the conference requirements. The committee may request revision or resubmission if the video does not meet the technical or academic standards.
Possible reasons for resubmission include:
- Poor audio quality
- Unreadable slides
- Incorrect file format
- Excessive duration
- Missing paper information
- Incomplete presentation content
10. Copyright and Consent
By submitting the presentation video, the authors confirm that:
- The content is original and related to the accepted paper.
- The video does not contain unauthorized copyrighted materials.
- The authors grant permission to the conference committee to use the video for conference-related purposes, including online presentation, documentation, and archival purposes.

1. Presentation Format
All accepted presenters are required to deliver their presentation in an oral virtual format. Presenters must prepare a PowerPoint presentation and be ready to present live during the assigned conference session.
The presentation should be delivered in English and must clearly communicate the research background, objectives, methods, key findings, and conclusions.
2. Presentation Duration
- The presentation must be recorded and sent to the conference committee (see Video Submission Guideline). The video will be played on the conference day according to the schedule, followed by a Q&A session.
- Each presenter must stand by in the scheduled session for discussion in the Q&A session, and is expected to follow the time allocation below:

3. Presentation Slide Requirements
Presenters must prepare their slides using the official TC-IMSM presentation template. The official guideline page states that the presentation template should be used for video/presentation preparation.
The slides should follow these requirements:
- Use a 16:9 widescreen format.
- Use clear and readable fonts.
- Avoid excessive text on each slide.
- Use high-quality figures, tables, graphs, and diagrams.
- Ensure that all equations, labels, legends, and axis titles are readable.
- Use consistent formatting, colors, and slide layout.
- Include slide numbers where appropriate.
- Avoid using copyrighted materials without proper permission or citation.
4. Recommended Slide Structure
The presentation may follow the structure below:

A regular presentation is generally recommended to contain 13–15 slides, excluding the title and acknowledgment slides.
5. Content Relevance
The presentation should clearly show the relevance of the paper to one or more TC-IMSM 2026 scopes, including:
- Earth and Environmental Science, such as climate adaptation, disaster risk reduction, coastal and ocean environmental engineering, geotechnical engineering, and environmental monitoring.
- Green Energy and Engineering, such as renewable energy, circular energy design, green manufacturing, sustainable processing, and clean energy systems.
- Sustainable Life and Infrastructure, such as sustainable infrastructure metrics, life cycle assessment, occupational health and safety, incident response, and conservation infrastructure.
6. Technical Requirements for Virtual Presentation
Presenters must ensure the following technical requirements before joining the session:
- A stable internet connection.
- A working microphone and, preferably, a webcam.
- The latest version of Zoom or a compatible video-conferencing platform.
- A quiet environment with minimal background noise.
- The presenter’s display name should follow the format: Paper ID – Presenter Name

7. Presenter Attendance
- Presenters must join the Zoom meeting at least 30 minutes before their scheduled session. This allows the session chair and technical committee to check attendance, audio, screen sharing, and presentation order.
- The presentation video will be played according to the schedule, and the presenter must be ready for the Q&A session immediately after the video ends.
- Failure to attend the assigned session may affect the issuance of the presentation certificate and the paper’s eligibility for further publication processing.
8. Video Presentation: Requirement and Submission
- The committee requests a pre-recorded video; the official guideline states that it should be submitted in MP4 format, with a maximum duration of 7-8 minutes.
- The official TC-IMSM schedule states that the presentation file submission deadline is 25 May 2026.

9. Presentation and Session Ethics
Presenters are expected to maintain academic and professional standards during the presentation. The following points should be observed:
- Present only original work related to the accepted paper.
- Avoid unsupported claims or conclusions that are not discussed in the manuscript.
- Properly cite external figures, tables, data, or images.
- Respect the session chair, committee, and other presenters.
- Keep the presentation within the allocated time.
- Answer questions politely, briefly, and scientifically.
10. Question and Answer Session
After the presentation, the session chair will invite questions from the audience. Presenters should answer clearly and directly. If a question cannot be answered during the session, the presenter may briefly state that the issue will be considered for future work or further discussion after the conference.
11. Certificate and Presentation Record
The presentation certificate will be issued only to presenters who have completed their presentations in accordance with the conference schedule and technical requirements. All published papers must be presented at the conference, as stated in the official author guidelines.
